Dental IT Ltd ("we", "us") is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, and how we look after it.

Who we are

Dental IT Ltd is a company registered in England and Wales (company number 05785120), with its registered office at 3A Abbeydale Road South, Sheffield, S7 2QL. What information we collect

Information you give us. When you contact us by phone, email, our website, or book a call, we may collect your name, practice or company name, job title, email address, phone number, and the content of your enquiry.

Information collected when we provide services. When we support your practice's IT, we may process information necessary to deliver that support, such as user account names, device and network information, and the contents of support tickets. Where our work involves systems that store patient data, we act under the instructions of the practice as a data processor, governed by our contract with the practice. We do not use patient data for our own purposes.

Information collected automatically. Our website may collect limited technical information such as IP address, browser type and pages visited, used to keep the site secure and understand how it is used.

Call recordings. Calls to and from our helpdesk may be recorded, summarised and analysed for training, quality and service improvement purposes.

How we use your information

We use personal information to respond to enquiries, provide and improve our services, manage our contracts with customers, meet our legal obligations, and, where you would reasonably expect it, tell existing and prospective customers about relevant services. Our lawful bases are the performance of a contract, our legitimate interests in running and promoting our business, and compliance with legal obligations. Where we rely on consent, you can withdraw it at any time.

Who we share it with

We do not sell personal information. We share information only with service providers who help us run our business (such as hosting, email and telephony providers), with professional advisers where necessary, and where required by law. Where providers process data outside the UK, we ensure appropriate safeguards are in place.

How long we keep it

We keep personal information only as long as needed for the purposes described above, or as required by law (for example, accounting records). Support records and call recordings are retained in line with our internal retention schedules and then deleted.

Security

We apply the same standards to our own systems that we recommend to our customers, including access controls, encryption, multi-factor authentication, monitoring and tested backups.

Your rights

Under UK GDPR you have the right to access your personal information, to have it corrected or deleted, to restrict or object to its processing, and to data portability. To exercise any of these rights, contact support@dentalit.ltd.uk. You also have the right to complain to the Information Commissioner's Office (ico.org.uk) if you are unhappy with how we have handled your information.
